Bookings via WhatsApp, without stopping your work

Your client messages ‘Can I get a fill on Thursday after five?’ and the assistant finds a time when you or a colleague is free and the treatment fits. If something isn’t clear, for example whether it’s a full set or a fill, it asks that first. The appointment is only booked after confirmation. Rescheduling and cancelling happen in the same chat, within your rules, and questions you need to answer come back to you.

A calendar that knows how long every treatment takes

Gel polish takes less time than a full set of extensions, and your calendar knows it too. You set up every treatment with its own length and link it to the nail techs who do it. Working with several tables? Each nail tech has their own hours. If a client wants a manicure and a pedicure, the assistant books them back to back. In the client overview you see what someone had last time.

Reminders, and regulars back on time

Fills come round every few weeks, but a forgotten appointment is still a gap in your day. BarbrFlow sends a WhatsApp reminder before every appointment. If the client can’t make it, she reschedules straight away in the same chat. Clients who’ve gone longer than usual since their last appointment can be invited to book again, with their permission. And when a slot opens, the waitlist offers it to whoever it suits.

Deposits and a clear view of your salon

For long treatments like a full set of extensions, you can ask for a deposit. The client pays online through a payment link in WhatsApp (for example with iDEAL or card) and the money goes straight into your own Mollie or Stripe account. You decide which clients it applies to. In the dashboard you see how booked-up each team member is, plus takings and no-shows, so you know how your salon is doing.
